Documentation and records

The files and documents a business is asked to produce at an inspection.

  • Is there an up-to-date site emergency file for the building?
  • Is there an up-to-date facility emergency file, where the activity calls for one?
  • Are the storage conditions and storage height documented and current?

Fire safety systems

Detection, suppression, public address and smoke control systems installed in the building.

  • Is a fire and smoke detection system installed in the building?
  • Is an automatic suppression system / sprinkler system installed?
  • Is there a smoke control system or a means of smoke venting?
  • Is there an emergency public address system?
  • Is there an emergency generator feeding the safety systems?

Inspections and certificates

Valid inspection certificates from qualified parties.

  • Is there a valid certificate for the electrical installation and the emergency lighting?
  • Have the portable fire extinguishers been inspected and marked as required?
  • Have the hose reels and fire hoses been inspected by a qualified party?
  • Has an integration test — the cause-and-effect matrix between the safety systems — been carried out?

Periodic maintenance

Maintenance contracts and the record of routine servicing.

  • Are there current maintenance contracts for the safety systems installed?
  • Are periodic servicing and the closing out of defects being recorded?
  • Are kitchen hoods and ducts being cleaned periodically, where that applies?

Emergency preparedness

The emergency arrangements, the training and the drills in the organisation.

  • Have employees been trained in fire prevention and in the use of firefighting equipment?
  • Has an evacuation or emergency drill been held in the past year?
  • Is there an emergency team with clearly assigned roles?
  • Have the escape routes, emergency exits and signage been checked and left clear?

Fire service forms

Forms and certificates specific to the kind of activity carried on in the building.

  • Are hazardous materials held that call for a toxics permit?
  • Is there a gas system in the building?
  • Is there a suppression system in the kitchen hoods?
  • Is a suppression system installed in the electrical panels?

Professional basis

  • Fire service forms and compliance certificates — Hoshen's own materialVerified
    Publisher:
    Hoshen Engineering & Consulting
    Clause / table:
    /fire-forms — 23 forms

Material written by Hoshen and published on this site. It supports the readiness questionnaire only, and is not a regulatory determination.

Assumptions

  • The questionnaire asks whether the business holds the documentation and approvals, not whether an item is required by law.
  • Items marked "not relevant" are not counted. An item marked "not sure" counts as a gap, not as readiness.

Limits

  • The index reflects documentary readiness only, and is not a finding that requirements are met.
  • The questionnaire is not a substitute for an on-site fire safety inspection.

This is a professional aid. It does not constitute an approval, a certificate of conformity or an expert opinion, and it does not replace a specific assessment by a qualified professional or the requirements of the competent authority.

Readiness

Missing data

Answer the questions to get a readiness picture. The result updates as you go.

  1. MethodReadiness index = items marked "in place" ÷ relevant items answered

Items marked "not relevant" are not counted. An item marked "not sure" counts as a gap, not as readiness.

  • 0 of 23 questions answered. The index reflects only what has been answered.

Your data is stored in this browser alone and is never sent to Hoshen or to anyone else.
